Hotel System™ is an intuitive, web-based Hotel Property Management System ideally suited for operators with multiple small or medium sized sites in one or more countries or time-zones. Being web based, Hotel System has integral facilities for taking bookings online, as well as sending confirmation letters, invoices, statements and even managing full-scale HTML email marketing campaigns direct from the system without any third-party tie-ups.

Eight years of development — Hotel System 4 builds on web-based innovation first developed in 2002. While other suppliers have been playing catch-up, often adapting outdated PC-based technologies, we have been enhancing and fine-tuning our hand-coded web systems for efficiency, stability and security.

Beautifully intuitive interfaces — The system’s interfaces have been designed to look good and be used intuitively, reducing or even removing training requirements for day-to-day users. Consistent design metaphors and logical colouring have been expertly used to promote confidence and increase productivity.

Accessible from anywhere in the world — Any number of users can securely and concurrently access Hotel System at any time from any PC, Mac, iPad or smartphone with an internet connection and browser. The security techniques and technologies employed are similar to those used for internet banking and trading.

No special equipment needed — Hotel System requires nothing more than a basic, internet enabled computer and is not susceptible to viruses or malicious software residing on your office network. We take care of all the specialist hardware, which is housed in secure, state-of-the-art datacentres in Germany and the UK.

Continual development and improvement — We value operator feedback and continually enhance the system accordingly. Because the software runs on our servers, we are able to develop and improve the system without access of any kind to your computers or network. Any changes we make will instantly be seen by all authorised system users without the need to install CD updates.

Comprehensive financial management sub-systems — Hotel System calculates room and meal charges, and accounts for and reports on takings, turnover and various balances. Confirmation notes, invoices and statements can be generated (with a logo) as printable web pages or PDF files which can be emailed direct from the system.

Scalable — Suitable for groups of hotels in different time-zones with hundreds of occupiable rooms and dozens of function or conference rooms, Hotel System 4 is equally ideal for small hotels due to its unit-based pricing model and intuitive interfaces. (Note that EPOS, key card and PBX integration are not yet enabled.)

Multiple charging mechanisms — Room rack rates can be set for weekdays and weekends in peak and off-peak months, with automatic adjustment for yield management, length of stay, single occupancy, adjustable periods of high/low demand, individual room location or decor, and configurable special or package rates.

Four booking entry types: (1) automated from your website; (2) individual for walk-ins and phone enquiries; (3) casual groups for multiple rooms whereby any group member can settle any or all accounts; and (4) corporate group management including group room assignment, check-in and financial accounting.

Website booking integration — A secure, multi-site, multi-language, brandable online booking module enables rooms to be booked and paid for from your website using the full range of charging mechanisms.

Conference centre management — Conference System™ is integral to Hotel System 4, enabling you to manage and financially control bookings and sub-bookings for a conference centre or function rooms.

Mailing list and email marketing module — Legitimately send personalised plain text or HTML emails to tightly targeted groups of customers and/or clients, avoiding junk folders and maximising delivery (subject to your message conforming to certain rules and regulations, and your mailing list being legally obtained, clean and current).

Manage your hotels from an iPhone or iPod Touch — Due to be implemented later this year, a special web app will offer essential system functionality via your iPhone, iPod Touch or most modern smartphones (viewable on smartphones with a WebKit browser engine e.g. Apple’s iPhone, Google’s Android, Nokia’s Symbian S60, Palm’s WebOS etc.).
